How to score each criterion

Ask the vendor in writing, then pick the level that best fits. Ten criteria × up to 5 points each = 50 maximum.

  • 1 — Does not meet the requirement.
  • 2 — Meets the requirement minimally; major gaps remain.
  • 3 — Partially meets the requirement.
  • 4 — Largely meets the requirement; minor gaps only.
  • 5 — Completely meets the requirement.

API coverage

Does the vendor expose a documented read and write API that covers what the user interface can do, including the records, fields, and actions an agent would need to complete real work?

Records and structure

Are core objects represented as structured records with explicit fields, status, and ownership, rather than as free text or attachments?

Audit trail access

Can the change history for any record be retrieved through code, not just viewed in the user interface, with enough detail to reconstruct what changed, when, and by whom?

Identity and permissions for non-human users

Can an agent operate under its own credential, with scoped permissions, separate from any human login, and with the ability to revoke access cleanly?

Custom workflows and automations

Can your team build workflows, rules, and automations without depending on the vendor's professional services team for every change?

Open interface support

Has the vendor shipped or committed to an open agent interface (MCP, equivalent protocols, or first-class webhooks and event streams) on a stated timeline?

Model neutrality

Can you bring your own model or AI provider, or is the AI capability tied to one model the vendor selected?

Cost of customization

What is the realistic total cost of building a custom workflow or agent on the platform, including any required vendor services or premium tier licensing?

Data portability and exit

Can you extract records, fields, history, and structure cleanly if you choose to leave, and on what terms?

Roadmap commitment

Will the vendor commit, in writing, to keeping the platform open and to specific agent readiness milestones over the term of the contract?
